You can have the greatest ideas in the world, but they don't benefit your company or your career if you can't express them clearly and convincingly. You can use the following techniques to make your messages practical, realistic, concise, clear, and persuasive:

Definition of effective communication

Effective communication represents the unifying force that directs many activities and efforts towards achieving organizational and personal goals.

Communication establishes relationships and makes organization possible. Every message has a purpose or goal. The sender intends—whether consciously or unconsciously—to accomplish something by means of communication.

In organizational contexts, messages usually have a specific purpose: to motivate, inform, teach, persuade, entertain or inspire. This specific purpose is, in fact, one of the main differences between informal conversation and managerial communication . Effective communication in the organization focuses on well-defined goals that support the organization's goals and mission.

What is effective communication?

Communication is the process by which we convey, disclose or share knowledge, ideas, opinions, or feelings. Or communication is the process of exchanging information and meaning between or among individuals through a common system of symbols, signs and behaviour.

Communication is the process of transferring information and understanding from one person to another.

Organizational communication defines a pattern of formal communication channels for transmitting information both vertically and horizontally. To ensure that objectives are achieved efficiently and effectively, information is exchanged (see figure below).

Information is passed upwards from employees to supervisors and laterally to neighboring departments. Instructions regarding management performance and policies for doing business are passed down from supervisors to employees. The organization carries the information from within the department back up to the top management. (see the following figure)

Management provides information on how things are going, notifies the supervisor what the problems are, and makes requests for clarification and assistance. Supervisors, in turn, keep their employees informed and provide assistance. Supervisors constantly facilitate the process of obtaining the necessary clarifications and solving problems; Both up and down the organization. Also, supervisors communicate with sources outside the organization, such as vendors and customers.

For any audience, communication is only effective when the intended message is understood, and when it stimulates required actions or encourages the audience to think in new ways.

Effective communication brings a number of important benefits to you and your company as follows:

  • Stronger business relationships.

Types of effective communication channels

1 - Verbal Communication Channels (Direct personal channels)
  • Face-To-Face meetings,
  • Telephones,
  • Video Conferencing.

Direct personal channels: are best used when personal contact is necessary for sharing lengthy, complex, ambiguous, and non-routine messages.
Strength: Role of Body Language.
Weakness: Not possible to give long list of directions.

2 - Written Communication Channels (Impersonal channels)
  • Letters,
  • e-Mails,
  • Memos,
  • Reports.
Strength: A proof of a communication.
Weakness: A written word does not show person's actual feelings.
Impersonal channels are considered to be useful when a small amount of information about a single topic needs to be communicated in a simple, direct manner.

Nonverbal Cues in effective Communication

That part of communication that is beyond words is referred to as nonverbal communication. The old axiom-It's not what you say, but how you say it and what you are doing when you say it!-is true.
