Management Functions

Managers create and maintain an internal environment, commonly called the organization, so that others can work efficiently in it. A manager's job consists of planning, organizing, directing, and controlling the resources of the organization. These resources include people, jobs or positions, technology, facilities & equipment, materials & supplies, information, and money. Managers work in a dynamic environment and must anticipate and adapt to challenges.

The four basic management functions (the activities that make up the management process) are as follows:

Planning  Management

Planning Management determines organizational goals and the means for achieving them.
Planning Management is the process used by managers to identify and select appropriate goals and courses of action for an organization.

3 steps to good planning:
  1. Which goals should be pursued?
  2. How should the goal be attained?
  3. How should resources be allocated?
The planning function determines how effective and efficient the organization is and determines the strategy of the organization.

Strategic planning Management is the formulation of major plans or strategies, which guide the organization in pursuit of major objectives.
Planning  Management Includes defining goals, establishing strategy, and developing plans to coordinate activities.

Organizing  Management

What is organizing? Organizing is the second function of management which follows planning. Organizing means arranging the activities of the enterprise in such a way that they systematically contribute to its goals.

Organizing Management is unified system to support the established Strategies and Goals.

In organizing, managers create the structure of working relationships between organizational members that best allows them to work together and achieve goals.

Managers will group people into departments according to the tasks performed. Managers will also lay out lines of authority and responsibility for members.
An organizational structure is the outcome of organizing. This structure coordinates and motivates employees so that they work together to achieve goals.

Organizing Management decides where decisions will be made, who will do what jobs and tasks, and who will work for whom in the company. Organizing creates a mechanism to put plans into action.
The purpose of this managerial function can be thought the attempt “to bring order out of chaos”.

Organizing  Management includes determining what tasks to be done, who is to do them, how the tasks are to be grouped, who reports to whom, and where decisions are to be made.

Leading  Management

Leading is the process of Influencing employees to work toward achieving objectives.

In leading function, managers determine direction; state a clear vision for employees to follow, and help employees understand the role they play in attaining goals.

Leadership involves a manager using power, influence, vision, persuasion, and communication skills.
The outcome of the leading function is a high level of motivation and commitment from employees to the organization.
The ultimate purpose of leading is to increase productivity.
Leading Management includes motivating employees, directing the activities of others, selecting the most effective communication channel, and resolving conflicts.

Controlling  Management

  • Controlling Management is the process of establishing and implementing mechanisms to ensure that objectives are achieved. Or
  • Controlling Management is the process of monitoring performance, comparing it with goals, and correcting any significant deviations.
  • Controlling Management is the monitoring of progress toward goal achievement and taking corrective action when progress is not being made.
The outcome of the controlling function is the accurate measurement of performance and regulation of efficiency and effectiveness.
